What’s the difference between a room, a virtual conference room, and a room system?

When we talk about a room it’s a virtual conference room.  When you purchased your subscription you ordered a number of virtual conference rooms.  Under “Browse Meetings & Users” you can see and search for all your virtual conference rooms.  These are named according to your preferences at start-up configuration – for instance you may choose a person’s name, or name it after a project or function.

What does “rooms” mean in the pricing tables?

It means a virtual conference room.


How many rooms do I need?

That depends on how often and how many different people will be using the service.  We can help you figure out what number is best.  One thing to consider is having enough rooms to avoid scheduling conflicts.  For instance, you may only feel you need coverage for half a business day, 5 days per week, but on Monday morning there are always a number of important meetings happening at the same time.  This is where you’ll need to compare availability versus the cost of adding another room.


What is meant by people (e.g. Max People) in pricing?

The maximum number of people who can use one virtual conference room at any time.  A person is one logged in user.  In the scenario where a meeting consists of one person at her laptop, and five persons in a formal conference room using a room system this is 2 people as far as pricing is concerned even though six persons in this scenario attend the conference.

What is a room system?

A dedicated room can be equipped with a room system consisting of the equipment to access the video conferencing network complemented by the A/V equipment.  For instance – a classroom, a project room, or a board room.


What is meant by Telephony?

CoroWare has added a feature whereby attendees who are not able to access using their PC can still attend by using an audio conference number.


Guest is mentioned in pricing – please explain what a guest is?

If you order a subscription plan with, say, 5 “Max People” each of these “people” has their own login identity.  If another person wishes to attend who is not one of these 5 people they can attend as a guest.  Guests attend at a different and less favorable rate then the aforesaid people.

How do I schedule a video conference?

Each of the users has their own URL and also is listed in the software’s browser.  So you can either forward the URL of the room or ask an attendee to join the room as identified in the browser.  For instance, respectively, “http://vidyo.coroware.com …” or “Marketing Video Room”.  You can of course forward this in a meeting invitation.  If your company uses Outlook to schedule meetings you have another couple of options:

  • Use a supplied Outlook plug-in to insert your room URL in the meeting text
  • Make each meeting room an Outlook resource (e.g. Marketing Video Room) which facilitates the scheduling of the video conferencing rooms and removes the possibilities of conflict. 

Is the URL secure?

You can change a URL at any time.  For instance, if you have external or public attendees you may wish to not keep the previous URL.  This is why in our opinion it is better to refer to a room by its name rather than its URL.


Can I control who attends my meeting?

There are a number of ways including assigning a PIN to a room or closing access to a room by using the “Control Meeting” web page.

When I am speaking in a conference I hear my voice echoed back, slightly delayed. How do I correct this?

This is caused by at least one of the participant's having feedback between their speaker and microphone.
The first thing you must do is determine who is causing the feedback. There are a few methods to do this:

  •  If the echo started when a new person joined the conference they are causing the problem.
  •  If a single person in the conference is not hearing echo they are causing the problem.
  •  If neither of the above methods work you will need to have all of the other participants mute their microphones. Then have each person unmute and see if the echo starts. If so, they are causing the problem.

Once you have determined who is causing the echo you will need to remove the echo. The following question covers that topic.


A participant is causing echo. I know who it is. How do I eliminate the echo?

When you know who is causing an echo problem you can then take steps to remove the echo. There are a couple of methods to handle this:

  • Remove the feedback path between the microphone and the speakers. This can be as simple as the participant using a headset or earbuds.
  •  Use an echo cancelling audio device. A USB speakerphone can be used as the audio device. Generally, these devices include echo cancellation built in.
